Terms & Conditions for Tutors / Coaches
By registering with The Graduate Tutors (i.e the agency), or by accepting a tuition / coaching assignment, you (i.e the tutor / coach) agree to the following Terms & Conditions, which govern your engagement with us.
“Us” / “We” / ‘’Our’’/ “The Agency”: Refers to The Graduate Tutors, an individual or entity facilitating tutoring and coaching services.
“Tutor” / “Coach”: Refers to any individual who has applied or been accepted to provide tutoring or coaching services through The Graduate Tutors, whether or not an assignment has been offered or accepted.
“Client” / ‘’User’’: Refers to any individual who enquires about, registers for, or receives tutoring or coaching services, or their parent/legal guardian where applicable.
1. Tutor Eligibility & Registration
- All tutors must be at least 16 years old with a minimum of GCE ‘O’ Level or equivalent.
- All information submitted must be truthful and accurate, including personal particulars and academic qualifications.
- You may be asked to present supporting documents for verification at any time.
- Falsification of credentials will result in blacklisting and may be reported to the authorities.
2. Lesson Expectations
Tutors are expected to maintain professionalism at all times. You agree to:
Before lessons
- Be aware of the lesson location before accepting the assignment.
- Adhere to agreed lesson timings and rates.
- Provide at least 48 hours’ notice for any changes, and such changes must be mutually agreed upon by the client. For sudden illness, a medical certificate may be requested by The Graduate Tutors or by the client.
During and After lessons
Conduct lessons punctually and strictly no substitutes allowed.
- Following the completion of the first lesson, the tutor / coach is responsible for arranging all future sessions directly with the student. At that point, the tutor must clearly communicate any personal policies regarding payment, cancellations, or other relevant terms to the client.
- Keep clients informed of student progress regularly.
- Maintain a minimum commitment of 3 months unless otherwise informed and agreed with the agency. If unable to commit, you must inform the agency as early as possible.
- Any unacceptable behavior, including but not limited to, verbal or physical abuse, tardiness, or reduced lesson durations, will result in immediate termination, possible blacklisting and / or be reported to the authorities.
3. Payment Structure & Commission
- A one-time commission equivalent to the first 2 weeks of lesson fees will be charged to tutors / coaches.
- This commission is collected directly from the client. If paid to the tutor / coach by mistake, the tutor / coach is required to transfer it to the agency immediately.
- For additional lessons (e.g., siblings, added subjects or increased frequency) within the first month, the same commission policy applies.
- Clients shall pay all subsequent fees directly to the tutor, based on mutually agreed terms. These payments do not include any agency commission.
- Attempts to avoid paying commission to the agency may result in legal action, including reporting to authorities and steps to recover any unpaid amounts.
4. Short-Term Assignments
Assignments lasting 12 weeks or fewer are considered Short-Term.
- Agency’s commission: 25% of the total lesson fees, capped depending on the number of lessons completed.
- If the assignment ends early, the commission is still applicable based on the actual lessons conducted.
- If the tutor cancels without valid reason, they may forfeit their fees and be billed for the agency’s commission.
- Each situation will be reviewed individually, and any resolution determined by the agency will be considered final and binding.
5. Cancellations, Rescheduling, Replacements & Termination
Client-Initiated Cancellations / Rescheduling:
- If a client cancels / reschedule the first lesson less than 48 hours before the scheduled time, the first lesson fee may be applied to the client to compensate the tutor for time and transport, depending on the circumstances. Free rescheduling is only allowed with mutual agreement between tutor / coach and client.
Tutor-Initiated Cancellations / Rescheduling:
- Once confirmed (via any communication method), tutors are expected to commit for at least 3 months of lessons.
- If a tutor / coach cancels / reschedule the first lesson less than 48 hours before the scheduled time, the first lesson fee may be allocated on the tutor / coach as compensation for both the client’s lost time and the agency’s administrative and coordination efforts, depending on the circumstances. Free rescheduling is only allowed with mutual agreement between tutor / coach and client.
- For emergencies, an MC may be requested.
- Repeated last-minute cancellations may result in blacklisting.
Client-Initiated Replacements:
- Clients may request a tutor change at any point.
- If this occurs within the first 4 weeks, fees will be split 50/50 between the tutor / coach and the agency.
- Tutors may forfeit their 50% if:
- They cancel on their own
- Deliver poor-quality lessons
- Provide false or unverifiable profile info
Tutor-Initiated Termination:
- If the tutor / coach is unable or unwilling to continue within the first 4 weeks—for reasons such as illness, mismatch, or other circumstances—clients will only be charged for lessons already conducted. The fees will be split 50/50 between the tutor/coach and the agency, subject to the specific situation, with the final decision determined by the agency based on the circumstances.
Final Decisions:
- Each situation will be assessed individually, with all interests taken into consideration. Any decision made by the agency will be final and binding.
6. Limited Liability, Indemnity, Dispute Resolution & Blacklisting
- All issues will be evaluated fairly, but the agency’s decision is final.
- Tutors may be blacklisted from future assignments for:
- Misconduct
- Unprofessional behavior
- Policy violations
- Ghosting clients/agency after assignment confirmation
- The agency may offer support at its sole discretion but holds no legal or financial responsibility for the actions, conduct, or outcomes of either party.
- Tutors / Coaches agree to indemnify and hold harmless the agency, its employees, agents, and affiliates, from any claims, damages, losses, or expenses arising from their use of our services or violation of these Terms.
- While the agency facilitates connections between tutors/coaches and clients, we are not responsible for resolving disputes that may arise. All disagreements must be resolved directly between the parties involved.
- The agency reserves the right to disengage from any tutor/coach or client at any time. This includes withholding information, suspending services, or limiting access, unless disclosure is legally required.
7. Amendments to Terms & Intellectual Property
- We reserve the right to modify these Terms at any time without prior notice.
- Continued use of our services following amendments constitutes acceptance of the updated Terms.
- All content on our website, including text, graphics, logos, and software, is the property of The Graduate Tutors or its licensors and protected by intellectual property laws.
- Users may not copy, distribute, or use any content without explicit permission.
Terms & Conditions for Clients
By accessing and using the services provided by The Graduate Tutors (i.e the agency), you (i.e the client) agree to be bound by these Terms and Conditions. If you do not agree with any part of these Terms, please do not use our services. Use of our platform constitutes your confirmation that you are at least 18 years old or have obtained parental or guardian consent if under 18.

“Tutor” / “Coach”: Refers to any individual who has applied or been accepted to provide tutoring or coaching services through The Graduate Tutors, whether or not an assignment has been offered or accepted.
“Client” / ‘’User’’: Refers to any individual who enquires about, registers for, or receives tutoring or coaching services, or their parent/legal guardian where applicable.
1. Client Registration and Responsibilities
Clients engaging our services are required to comply with the following terms to ensure a smooth and professional experience for all parties:
Accurate Information
- Submit accurate and complete information during registration as required by the agency. This includes details such as the tutee’s background, school name and academic performance, medical or behavioural conditions, and the full address for lesson arrangements.
Service Notifications
- Inform the agency when lessons commence or end, and promptly update any changes to the provided information.
Schedule & Attendance
- Provide a minimum of 48 hours’ notice for any schedule changes. All changes must be agreed upon by both the client and the tutor/coach. Clients must attend lessons punctually and adhere to the agreed lesson schedule and rates
Ongoing Communication
- After the first lesson, clients should liaise directly with the tutor or coach for all future scheduling and coordination.
Conduct & Accountability
- Clients are expected to maintain respectful and appropriate behaviour towards tutors or coaches at all times. Any aggressive or inappropriate conduct may be reported to the authorities at the tutor’s or coach’s discretion. The agency accepts no liability for such incidents.
Tutor Qualifications and Verification
- Clients may request verification of a tutor’s credentials, which the agency will assist with; however, we do not guarantee the authenticity of documents provided.
- Tutors found to have submitted false or fraudulent information will be removed from our platform, and appropriate legal action may be taken.
- Clients should notify us immediately if fraud is suspected.
2. Payment Structure, Commission, Late Payment & Debt Recovery
Payment Structure &Commission
- Our tutor matching service is free of charge to clients.
- Tutors / coaches pay a commission fee to us, which is included in clients’ initial payment made to us (typically the first two weeks of lessons). Clients do not pay the first two weeks of lesson payment to tutors/coaches.
- All subsequent payments are to be made directly to the tutor, based on terms mutually agreed upon. These payments exclude any agency commission.
- Any additional tuition services (e.g., extra subjects or siblings) must be disclosed to us and may incur additional commission fees.
- For assignments lasting 12 weeks or fewer, the agency’s commission shall be 25% of the total lesson fees, subject to a cap based on the number of lessons completed. The exact amount will be agreed upon by the agency, tutor/coach, and client before lessons commence. Each case will be assessed individually, and the agency’s decision shall be final and binding.
- Attempts to avoid paying commission to the agency may result in legal action, including reporting to authorities and steps to recover any unpaid amounts.
Late Payment & Debt Recovery
- Payments overdue by more than 4 weeks will incur a late fee of $100 for every subsequent four-week period or part thereof.
- Persistent non-payment may result in legal proceedings, including claims filed with the Small Claims Tribunal or courts.
- Clients will bear all reasonable legal and collection costs incurred.

Final Decisions:
- Each situation will be assessed individually, with all interests taken into consideration. Any decision made by the agency will be final and binding.
4. Limited Liability and Indemnity, & Dispute Resolution

- While we aim to provide accurate information and suitable tutor/coach-client matches, and may deliver academic and enrichment programs, we do not guarantee academic results or specific client outcomes.
- The agency may offer support at its sole discretion but holds no legal or financial responsibility for the actions, conduct, or outcomes of either party.
- Clients are required to pay for all lessons conducted, regardless of whether they are satisfied with the service, though they may cancel tutoring at any time. The agency welcomes any feedback or compliments to help us improve.
- We are not liable for any direct, indirect, incidental, or consequential damages arising from use of our services.
- Clients agree to indemnify and hold harmless the agency, its employees, agents, and affiliates, from any claims, damages, losses, or expenses arising from their use of our services or violation of these Terms.
- While the agency facilitates connections between tutors/coaches and clients, we are not responsible for resolving disputes that may arise. All disagreements must be resolved directly between the parties involved.
- The agency reserves the right to disengage from any tutor/coach or client at any time. This includes withholding information, suspending services, or limiting access, unless disclosure is legally required.

At The Graduate Tutors, we value the privacy of both tutors / coaches and clients. Personal data may be shared as required to meet legal or regulatory requirements. By accessing or using our website, or otherwise engaging with us, you acknowledge and consent to the terms set forth in this Privacy Policy.

We collect personal data to facilitate tutor/coaching–client matching and related services. This data may include:
- Name, contact number, email address, postal address, and identification numbers (e.g., NRIC, passport),
- Academic qualifications, non-academic skills, work experience and lesson preferences,
- Personal data of related individuals where applicable (such as children or spouses). By providing such data, you represent and warrant that you have obtained all necessary consents from these individuals for its disclosure to us,
- IP address, cookies, and site usage data (including page views, browser type, and other analytics used for service improvement and marketing purposes),
- Any other relevant personal data necessary for the provision of our services.
Personal data may be collected directly from the tutors / coaches / clients, including through manual methods such as WhatsApp messages or phone calls. We may use cookies to enhance the experience on our website. By continuing to use our site, the user consent to our use of cookies as outlined in this Privacy Policy.
2. Use of Personal Data and Data Protection
Your data may be used to:
- Match tutors/coaches with suitable assignments
- Share relevant details with clients or tutors/coaches after confirmation
- Deliver and administer academic and non-academic programs
- Communicate assignment updates, marketing messages, or service notices
- Support our operations and services in any other relevant and reasonable manner
Generally, we may use tutors’ or coaches’ general profile information—including but not limited to, the name, gender, qualifications, teaching / coaching experience —for marketing purposes across digital and print platforms, and only share to potential clients when needed to communicate to client for possible tutor / coach matching and for relevant classes / programs.
Personal data, including contact details, banking information, and certificate documents, will remain strictly confidential and will only be disclosed with the explicit consent of the tutor / coaches.
Client location data is collected to facilitate matching and may appear on our platforms or partner sites. While full address privacy is prioritized, it cannot be fully guaranteed. Clients may provide an alternate nearby location if preferred. Client details such as location and availability are shared with tutors during matching, with full addresses and phone numbers disclosed only after confirmation.
We may share users’ personal data with third parties for legal requests, law enforcement, and services such as payment processing. Only the necessary information is shared – strictly for the purpose of providing these services. When third parties operate internationally, data transfers comply with applicable laws. Our site may link to external services with their own privacy policies – the agency is not responsible for their data handling practices.
Clients may withdraw consent for data processing by contactng us; however, this may limit our ability to provide services.
We are committed to protecting your personal data and maintaining its confidentiality. In line with this commitment:
- We do not sell or rent your personal data to third parties.
- Access to personal data is strictly limited to authorized personnel and only for legitimate business purposes.
- Any unauthorized access or breach of privacy due to third-party misuse (e.g., client or tutor/coach sharing your data without consent) is not the agency’s liability.
- We may keep any personal data unless you request its deletion. In the event of a company sale or transfer, user information may be passed to the new owner as part of the transaction.
3. Policy Changes
We reserve the right to amend these terms or our privacy policy at any time without prior notice. Continued use of our services indicates acceptance of the updated terms.
